How to Use AI to Speed Up Your RTO's Competency Gap Analysis

Competency gap analysis is one of the most time-consuming tasks in RTO management. For every new training resource you want to add to your course — whether it's a YouTube video, a PDF, or a recorded webinar — someone has to manually review it against the relevant Units of Competency. AI tools are beginning to change this fundamentally.

What Is a Competency Gap Analysis?

A competency gap analysis compares a training resource against the performance criteria and knowledge evidence of a Unit of Competency, identifying which criteria are covered, which are partially covered, and which are missing. The output is a gap analysis report that tells you what additional resources or instruction are needed to ensure full coverage of the UoC.

The Traditional Manual Process

The traditional approach involves a trainer or assessor reading through the resource and, for each performance criterion, making a judgment about coverage. For a UoC with 20 performance criteria and a 45-minute video, this process takes 3–4 hours. Multiply this across a qualification with 12 units and you're looking at 36–48 hours of mapping work — just for one course.

How AI Changes the Process

  1. Content extraction: The tool extracts the text content from the training resource. For YouTube videos, this means extracting the transcript. For PDFs, it extracts the text.

  3. AI analysis: A large language model analyses the content against each performance criterion, scoring coverage from 0–100% and identifying specific gaps.

Important Limitations to Understand

AI competency mapping is not a replacement for human expertise — it is a tool that augments it. Current AI tools achieve 85–92% agreement with expert human mapping for well-captioned videos, but accuracy is lower for highly contextual or interpersonal skills. RTOs should treat AI gap analysis reports as a starting point for human review, not as a final determination.

Additionally, AI tools can only analyse what is explicitly stated in the content. Implicit knowledge and tacit skills that an experienced trainer would recognise may not be captured by AI analysis.

Practical Workflow for RTOs

Here's a recommended workflow for integrating AI competency mapping into your RTO's resource evaluation process:

  1. Identify a candidate training resource (YouTube video, PDF, etc.)
  2. Run an initial AI gap analysis using YouTubeASQAMap
  3. Review the AI report — focus on criteria scored below 60% for human review
  4. Supplement gaps with additional resources or instruction
  5. Document the final mapping in your evidence portfolio
